They print, fold, frank and deliver it — as an Einwurf-Einschreiben if you wish (registered post dropped into the letterbox, with tracking number, no signature). Whether it is an objection to a utility statement or a covering letter: Savanika combines address, subject and body into a print-ready PDF following DIN 5008. The sender details come from your company profile.

Recipient and address are already filled in. All that is left to decide is colour, double-sided printing and Einwurf-Einschreiben.

Printing, envelope, postage
The letter is transmitted encrypted to the provider's print centre in Germany, where it is printed, inserted, franked and handed over for delivery. Delivery times follow the terms of your dispatch account.

The record stays in the system
The status moves from “in progress” through “sent” to “delivered” — with a tracking number for Einwurf-Einschreiben. The dispatched PDF remains archived and can be retrieved at any time.
Who received what, and when?
Every letter sent by post is listed — with date, recipient, subject, dispatch type, status and the cost reported back by the provider. If someone asks months later, the proof is two clicks away.

What postal dispatch does — and what it does not
Address field per DIN 5008
The address field sits exactly where the print centre expects it. In addition, the recipient's address is transmitted in structured form, so the automated address check does not depend on scanned text.
Einwurf-Einschreiben (registered, no signature)
For time-critical post: the letter gets a shipment number, the carrier documents the drop into the mailbox, and the protocol tracks the status through to “Delivered”. The postal provider charges a surcharge for it. A registered letter handed over against a signature, or one with a return receipt, is not part of their range — better said upfront than afterwards.
Black-and-white or colour, single- or double-sided
Configurable per letter. Double-sided printing is the default, which saves paper and postage. Up to 179 pages per item.
A doubtful address stops the letter
The print centre checks every address by machine. If street, postcode and town do not match, the letter does not go into delivery but appears in the protocol as “Action needed” — better a letter that waits than one in the wrong mailbox.
Credentials encrypted
The credentials of your dispatch account are stored encrypted in our database in Germany and are never shown in plain text in the interface.
Costs visible, no markup
Savanika copies the costs reported back by the provider into the log — traceable per item. We are not a reseller and earn nothing on postage.
Three things worth knowing beforehand
You need your own dispatch account
Dispatch runs through your own account with the mail service provider. Register there once, store the credentials in your company profile — that is the whole setup.
Postage and printing are paid directly to them
The provider invoices the items directly to you, at the terms of your contract. Savanika does not sit in between and adds nothing on top.
The feature itself is included
Postal dispatch belongs to your plan like every other module. No additional fees are payable to Savanika.

Do I need my own contract with the mail service provider?
Yes. Every property management company uses its own dispatch account. You register once with the provider and store user name and password in Savanika under Company profile → Postal dispatch. Savanika is not a reseller; it controls dispatch through your account.
What does a letter cost?
That is set by the mail service provider and invoiced directly to you — Savanika adds nothing. The costs reported back per item appear in the dispatch log, so you can trace the effort per property or case.
Can I send registered letters?
Einwurf-Einschreiben yes: with a shipment number, a documented drop into the mailbox and a status that runs through to “Delivered” in the dispatch protocol; the provider charges a surcharge for it. A registered letter against a signature, or one with a return receipt, it does not offer at all — not through Savanika and not outside it.
How do I know whether the letter arrived?
The dispatch log shows the current state of each letter: prepared, in progress, sent, delivered or failed. The status can be refreshed at any time; an Einwurf-Einschreiben additionally carries a tracking number.
Which letters can I send?
Currently the letters Savanika creates inside a workflow — for instance the objection to a utility statement together with its covering letter. We are connecting further parts of the program step by step; the interface itself dispatches any A4 PDF.
How safe are my credentials?
They are stored encrypted, shown only masked in the interface and decrypted briefly on the server for the dispatch call alone. Application and database are located in Germany.
What happens before the first letter really goes out?
You store the credentials of your dispatch account in the company profile and enable letter dispatch there. After that every letter is created inside the case: recipient, subject and options are in front of you, and only your click hands it over to the print centre. The dispatched PDF stays available in the protocol.
