Tenant portal with self-service

Tenants can see their contracts, rent charges, statements and supporting documents. Tickets for repair reports, master-data upkeep, document upload — relieving the property manager of routine inquiries.

Owner reporting

Owners sign in with their own access and see their portfolio for themselves: properties and rental units, current leases, total balance, upcoming terminations and open tickets. There is no automatic monthly report by email — the figures in the portal are always up to today.

Which rent models does the software support?

All those common in Germany: fixed rent, stepped rent (§ 557a BGB) with any number of stages, index rent (§ 557b BGB) with CPI linkage, rent reduction, subletting, residential and commercial contracts with different VAT treatment. Each contract can maintain separate charge accounts for base rent and advance payments for heating and operating costs.

How does the automatic rent adjustment work?

With stepped rent, adjustments are made automatically on the agreed effective date. With index rent, the monthly CPI change published by the Federal Statistical Office is processed. For a reference-rent increase under § 558 BGB, the capping limit (15% or 20% within three years), the annual bar — the demand may be made at the earliest twelve months after the last increase — and the waiting period of fifteen months of unchanged rent are checked, together with the local rent index; the prepared increase letter is created automatically on request.

How is dunning handled?

Dunning stages are freely configurable (e.g. payment reminder, 1st reminder, 2nd reminder, notice of termination). Dunning fees and default interest are calculated automatically. Dispatch by email, letter (Einwurf-Einschreiben, registered post into the letterbox) or via the tenant portal. An escalation deadline prevents premature reminders.

Can owners see their own reports?

Yes. Every owner gets their own access and sees their properties and rental units, the current leases, the total balance, upcoming terminations and open tickets. We do not send an automatic monthly report by email: the figures live in the portal and are current to the day — a dispatched report would be out of date the next morning.

What is the tenant portal and what features does it offer?

The tenant portal is a password-protected area where tenants can view their contract documents, statements, rent charges and supporting documents. They can create repair reports via tickets, upload documents (e.g. heating-oil proof), report address changes and chat with the property manager — all in line with GDPR.

Are entries posted automatically in the general ledger?

Yes. Rent charges, rent payments, deposit receipts and settlement balances are posted automatically to SKR accounts. A CSV export for the tax advisor is available at any time.

How is the deposit managed?

Deposits are held under § 551 Abs. 3 BGB separately from the landlord's assets in a dedicated deposit account and invested to earn interest; the interest accrues to the tenant and increases the security. At the end of the lease Savanika compiles the outstanding claims and prepares the set-off — it is the landlord who declares it. Payment is made after the flat has been returned.
